Specialist Department: Events Reports To: Special Events
Coordinator FLSA Status : Full-Time, Non-Exempt The Events
Specialist initiates, plans and coordinates both fundraising and
non-fundraising events hosted by Niagara Hospice, while also
representing the organization in the community to further promote
its mission and goals. This role works collaboratively under the
guidance of the Special Events Coordinator. Duties &
Responsibilities Coordinate fundraising/non-fundraising activities,
including event planning, soliciting donations, sponsorships, and
securing prizes for raffles, auctions, etc.; attain necessary
licensures for events as necessary Participate in the design of
posters, fliers, direct mail pieces, displays and other print
collateral related to events. Organize print and digital mailing
campaigns to encourage optimum participation/attendance at events
Coordinate all event logistics related to the successful planning
and execution of events, including but not limited to registration,
securing venues and vendors, managing supplies, etc. Coordinate
promotional activities and social media for events as needed
Determine event labor needs and collaborate with the Volunteer
Department to secure an appropriate number of volunteers and assign
suitable tasks to ensure successful events. Negotiate with outside
vendors (i.e. location, rental fees and other charges related to
events) Ensure appropriate agency signage and educational materials
are available at all events (brochures, flyers, logo table covers,
display boards, banners, etc.) Oversee and assist with set-up and
break-down of events; some lifting required Propose innovative
ideas to enhance event planning and execution, increase event
revenue, and participate in post-event debriefings to evaluate
outcomes and identify opportunities for improvement. Represent
Niagara Hospice at community based Passive Income Generator events
as directed Ensure compliance with all event and Niagara Hospice
policies and procedures Other duties as assigned or as business
needs dictate Promotion of and adherence to all elements of the
corporate compliance program; support and promote the mission,
philosophy, goals, objectives, and programs of Niagara Hospice
Qualifications Degree in Hospitality Management, Marketing, Public
Relations, Communications, Business or related field preferred.
Experience with computer systems, databases and other technology;
proficient in MS Office Excellent written, oral, and communication
skills Ability to work some nights, weekends and holidays Ability
to manage multiple projects and work assignments at one time
Excellent interpersonal skills, both in person and by phone, with
high professionalism – must work well under pressure and exhibit a
positive attitude High energy and outgoing personality Ability to
accomplish projects with little supervision, and work well with a
team and volunteers Internet applications as they relate to public
information activities Meticulous attention to detail
Licensure/Certification Valid Driver’s License; travel required
Work Conditions No hazardous or significantly unpleasant working
conditions May include outside venues (exposure to outside
elements) Risks found in typical office setting Periods of
prolonged sitting, walking, standing Intermittent reaching,
stooping, bending, kneeling, and crouching Write, read and
comprehend English Finger dexterity related to typing, using key
pads, phones, filing, etc. Exerts up to 45 pounds of force Ability
to drive in various weather conditions EOE The pay range displayed
on this job posting reflects the anticipated range for this
position. A successful candidate’s actual compensation will be
determined after taking factors into consideration such as the
candidate’s work history, experience, skill set, and education.
