Employment Type:Full timeShift:Day ShiftDescription:POSITION PURPOSEResponsible for the day-to-day administration of the undergraduate medical education program. Provides accounting, purchasing, secretarial, clerical, resource, student scheduling, and administrative support to the Undergraduate Medical Education Director (UGME) and faculty of the undergraduate medical student program. Functions as a liaison between the UGME director and other departments, divisions, residents, and medical students.ESSENTIAL FUNCTIONS AND RESPONSIBILITIESAdministrative ResponsibilitiesOversees day-to-day operations of the program.Onboard and Offboards medical students in the hospital.Provides administrative support for UGME director and medical students.Counsels medical students on program policies and procedures.Maintains and distributes medical student manuals, lockers and other materials.Produces and distributes annual clerkship schedules and monthly changes.Coordinates events (such as student lunches, retreats, orientations, and graduation banquets).Maintains medical student electronic database and/or paper files of current and alumni medical students.Acts as representative for various education and planning committees.Helps coordinate medical student program activities, attendance, and budget.Coordinates medical student didactics and examination administration.Schedules meetings for the UGME directors with other parties.Evaluation/CredentialingCoordinates the distribution, tracking, electronic recording, and filing of medical student, faculty, and clerkship evaluations.Drafts recommendation letters and verification of training forms.Uploads letters of recommendation into ERAS.Tracks and verifies medical student procedures.Maintains documentation for medical school and other regulatory body requirements.Verifies Advanced Cardiac Life Support (ACLS) and Basic Life Support (BLS) certification for medical students.Ensures medical students are compliant with the Health Insurance Portability and Accountability Act (HIPAA).Helps track and monitors medical student duty hours.4. Program AccreditationUnderstands the LCME requirements for institutional, core, and elective requirements.Advises UGME director of accreditation requirement interpretation.Plans, coordinates, communicates, attends and maintains minutes of Clerkship Committee meetings.In collaboration with the UGME Director and University Staff, Coordinates completion of Site Visit documents for accreditation site review.Prepares department, faculty, and medical students for site visits.Serves as key participant in site visits.Organizes internal audits with institution's graduate medical education (GME) office.5. Information TechnologyUses Internet for LCME, ERAS, NRMP, surveys, and national reports.Implements and maintains electronic program management software including: all types of program evaluations, medical student rotation schedules, UGME policies, summary reports. Understands how to efficiently modify evaluation templates.Develops and maintains database on medical students and alumni.Helps update institution's UGME informational websites and recruiting web pages.6. Human ResourcesPrepares medical student vacation, sick leave, and leave of absence documentation.Evaluates medical student morale and responds to concerns.Assists in medical student remediation.Counsels medical students on program policies and procedures.Assists with due process for medical student probation and termination.Coordinates faculty advisory and mentor programs.7. FinanceAssists UGME Director in oversight of budget for UGME programs and works with UGME director and GME Office on changes.Helps develop program fund raising activities, if neededProfessional DevelopmentMay be requested to attend local, state, and national UGME or other professional development conferences,Apprises UGME Director of trends in UGME.May be asked to present or help present at UGME conferences.UGME OperationsWorking directly with the medical schools, University Deans and the clinical departments at SJMO, manages student schedules and assignments for clerkships, electives, and other hospital-based coursework.Publishes the medical student schedules and assignments for all of SJMO.Provides authoritative information to faculty, students, and medical schools on SJMO medical student policies and proceduresFacilitates contracts/affiliation agreements with medical schoolsTrains each department coordinator on all SJMHS policies and regulations and delegates out required medical student documentation and evaluations.Works with the faculty and administration of the medical schools and SJMO medical education programs to develop and maintain the student curriculum, with emphasis on third- and fourth-year core/elective coursework at SJMO.Provides counsel to medical students on procedures, policies, problems, or other general issues affecting their experience at SJMO.Works with the director of medical education in preparing and planning medical student affiliation agreements with accredited universities.Participate in the planning committee at SJMO and takes an active role in developing new or enhancing existing medical school programs.Attends monthly medical student meetings with affiliated universities.Attends quarterly GMEC meetings.Assists with maintenance of preceptor agreements.Maintains good rapport and cooperative relationships. Approaches conflict in a constructive manner. Helps to identify problems, offer solutions, and participate in their resolution. Maintains the confidentiality of information acquired pertaining to patient, physicians, associates, and visitors to St. Joseph Mercy Health System. Discusses patient and hospital information only among appropriate personnel in appropriately private places. Behaves in accordance with the Mission, Vision and Values of SJMHS. Assumes responsibility for performance of job duties in the safest possible manner, to assure personal safety and that of coworkers, and to report all preventable hazards and unsafe practices immediately to management.OTHER FUNCTIONS AND RESPONSIBILITIESPerforms other duties as assigned.REQUIRED EDUCATION, EXPERIENCE AND CERTIFICATION/LICENSUREEducation:.--- Bachelor's degree (such as management, education, or social science) requiredExperience:REQUIRED SKILLS AND ABILITIESWritten and verbal communication. Information technology, including an ability to develop advanced knowledge of Word, Excel, PowerPoint, Adobe, Microsoft Teams/Outlook, New-Innovations and other databases. Medical student curriculum and annual cycles. Accurate typing, spelling, data entry, proofreading, and editing skillsWORKING CONDITIONS: Normal office environment.
