ERIE CATHOLIC SCHOOL SYSTEM JOB TITLE: BUSINESS MANAGER REPORTS TO: DIRECTOR OF FINANCE AND SCHOOL PRINCIPAL POSITION STATUS: FT AND EXEMPT Position Summary: The Business Manager fulfills the mission of the Erie Catholic School System by assisting the Director of Finance and the School Principals regarding the fiscal matters of their assigned schools. The successful candidate will be responsible for overseeing the accounts receivable function of their assigned schools, performing tuition billing, advising the Principal on school budget related matters, coordinating with the Pennsylvania Department of Education for National Free and Reduced School Lunch Program requirements, coordinating with the cafeteria food management service company regarding business operations of their assigned schools' cafeterias, communicating with school families regarding tuition and school business matters (as required), and validating payroll for their assigned school employees. The Business Manager agrees to abide by the policies and procedures of the Diocese of Erie and the Erie Catholic School System. The Business Manager supports the school administration in providing an environment that promotes the ministry of Catholic education. Required Qualifications: Proficiency in MS Office applications, Quick Books and other business and school management software applications. Accounting and bookkeeping experience in management/accounting for schools, churches or non-profit charitable foundations. Understand and supports the mission and purpose of the ECSS and the Catholic Church. Complies with the Safe Environment Requirements of the Office for the Protection of Children and Youth and maintains all required clearances Desired Qualifications: Practicing Catholic preferred Essential Functions and Responsibilities: Assists the Director of Finance on developing business plans and strategies to support Erie Catholic's mission of Catholic Education. Advises the Director of Finance on preparation of the system-wide budget. Advises the school Principal on budget execution and school budget-related issues. Manages their assigned schools' accounts receivable function and bank accounts, and prepares monthly required reports and bank reconciliations concerning their assigned schools' operations and funds. Generates invoices for, and communicates with school families regarding tuition and fee billing, extended care billing, and summer program billing. Manages and applies financial aid awards to school families, and communicates with the families regarding financial aid issues. Prepares and submits required documents and reports to the Pennsylvania Department of Education on a periodic basis, as required. Maintains financial records according to best practices, policies and procedures of the Diocese/Erie Catholic. On a bi-weekly basis, reviews and validates employee payroll for their assigned schools and communicates with the central payroll administrator regarding any school payroll issues. Reconciles their assigned accounts and performs end of year closeouts. Reviews all requested school purchases and forwards to central accounts payable. Attends meetings consistent with the job description (staff, partner parish pastor, food management service company employees, parent teacher organizations, etc) Communicates effectively within the Erie Catholic School System. Advises Director of Finance on developing and growing tuition assistance. Operates their assigned schools' tuition management system and collects delinquent tuition. Demonstrates professionalism in conduct, demeanor, and work habits. Performs other assignments and projects consistent with the responsibility level and general duties of the school Business Manager. Performance Factors/Job Competencies Supports and upholds the philosophy of Catholic Education and the mission of Erie Catholic. Supports and adheres to the Code of Conduct, policies, and procedures of the Erie Catholic and Diocese. Ability to quickly learn and become proficient in the use of web-based and software applications necessary for work functionality Excellent organizational and management skills. Maintains confidentiality regarding Erie Catholic matters. Able to communicate effectively and work collaboratively in a team environment Skill in handling multiple task simultaneously Knowledgeable of safety and security issues. Knowledgeable of school policy and guidelines in relationship to Diocese policies and guidelines. Required to manage high to moderate levels of stress. Knowledge of state and federal laws that impact operations within Erie Catholic's schools. Work Environment: This job operates in an office environment. Incumbent must be able to sit at desk for extended periods of time. This role routinely uses standard office equipment with a vast majority of the time utilizing computers to complete daily tasks. Due to travel outside of the home office, candidates are required to have a vehicle and valid driver's license to attend job related duties, meetings, seminars, and trainings.Physical Demands: (% of time)Standing: Occasionally ( Sitting: Frequently (80%)Lifting: 0-20lbs. It may not be used for personal profit or gain and will be relinquished to the Erie Catholic School System upon termination of employment from the Erie Catholic School System.
