Job Type Full-time Campus Unionized Position Code Not Applicable Job_Description Reporting to the Executive Director of Special Events, the Assistant Director will support, and direct the planning, managing, and implementation of University and advancement events. Including annual Commencement and Convocations. The Assistant Director position is focused on logistics, event set-ups and interfaces with multiple University offices, including but not limited to; Parking and Transit Services, Physical Plant, Fire and Safety, and Campus Design and Construction. Qualifications Bachelor s degree in business administration, hospitality, marketing or a related field and a minimum of five years of facility and/or services administration and coordination experience in higher education or for-profit business. Minimum of six years of progressively responsible experience in facility and/or service administration and coordination. Demonstrated ability to understand and execute team logistics. Excellent communication and organizational skills. Job_Specific_Qualifications High level of customer service; attentive and courteous to guest requests, responsive in professional and timely manner. Ability to remain calm during crisis and the high pressure of an event in progress. High level of professional manner in dealing with fellow colleagues, guests, and vendors. High level of maintaining confidentiality and professional appearance and demeanor. Mid-level knowledge of construction skills, CAD or similar software, technology production; lighting, video, and sound set-ups. Mid-level computer skills; working knowledge of Microsoft Office programs, Word Press, and other website development software. Mid-level of writing skills; spell and grammar check, proper formatting of emails and letters. Responsibilities Assist the Executive Director and Director in directing and overseeing the planning, decision making, management and execution of University events including; Commencement weekend, New Student Convocations, University Lectures, Orange Central, Trustee weekend, and other high-profile events and programs. Assist in management of guests: meet and greet students, faculty, senior administrators, Trustees, donors, and other special guests and handle VIP requests/duties as needed. Manage and oversee logistical planning and services for Commencement weekend. Coordinate with various University offices for parking, campus transportation, technical services, catering, grounds and maintenance. Interface with students, families, faculty and other guests in providing information and assistance for Commencement weekend. Represent the Special Events office to provide event management expertise and assistance to other units of AEA and other campus offices for small-scale events which can be managed independent of the Executive Director. Oversee production timeline, production meetings, scripts, diagrams, and management of special guest speakers/performers. Manage budget for event production materials; including set up costs, signage, staging, audio/technical items and other miscellaneous production items. Maintain storage areas, supplies, and ordering of materials. Review and reserve event space on and off campus; manage venue diagrams, layouts, photos, and accessibility plans. Coordinate with campus departments and outside vendors, event and production requests, reviewing contracts/ protocols and costs associated with venues.
