Job Description:

The Marketing Admin Assistant should be a passionate team member who provides vital support to the Marketing Department's daily functions. This individual should be energetic and embrace an ever-changing set of projects and responsibilities. Initially, the individual will primarily provide administrative support with revolving tasks that include preparing meeting agendas, fulfilling company donations, processing department invoices, managing inventories, and proof-reading. The Marketing Admin Assistant should be comfortable working as a member of a team, as well as functioning independently on their own tasks and projects. Although grounded in administrative functions, this role provides great opportunity to become involved in various forms & functions of a marketing team, with upward growth likely.Marketing Admin Assistant's Key Role:---Aids the Director and Marketing and Marketing Managers to stay organized and fulfill project tasks as needed.---Provides administrative support to marketing team including invoicing, data entry, schedule appointments, prepare agendas, maintaining databases, copying, filing, running errands, and taking minutes.---Helps to maintain and organize a shared digital filing system.---Organizes and maintains inventory and distribution of all marketing materials to a variety of locations.---Participates in aspects of communications projects, including copywriting, editing and design with a sharp attention to details and accuracies.---Acts as liaison for marketing material requests needed for company events i.e. brochures, posters, poster stands, pop up banners, enter to win box & forms, etc.---Oversees and works with interns for the department when applicable.---Checks marketing mailbox and distributes mail daily.---Attends weekly marketing meetings - take meeting minutes and distribute to department.---Assists in research tasks and follow-up calls for marketing initiatives i.e. competitive resorts (ski, golf spa, wedding) nonprofits, schools, business to business, churches, etc.---Assists in marketing and special events, local store marketing and special projects as needed.---Assists graphic designers with cutting, laminating, ordering supplies, keeping inventory and cleaning of department.---Performs other job-related duties as may be assigned or required.QUALIFICATIONS, SKILLS, EXPERIENCE: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.---A four-year college degree from an accredited university or college institution in business management, marketing or related fields preferred.---1-2 years of related experience preferred.---Highly proficient with all MS Office applications including: (Word, Excel, Outlook, PowerPoint).---Must be very organized, analytical, creative, demonstrated ability to manage handle multiple projects simultaneously.---Must demonstrate effective oral and written communication skills and the ability to work cooperatively with staff inside and outside of the department.---Requires tact, diplomacy and a clear courteous and professional manner when dealing with the public.---Ability to work in a team and perform well independently.---Must display a high-level of professionalism and customer service.---***Flexible Schedule required, must be willing and able to work during Special Events which may occur on nights, weekends and holidays*****PHYSICAL DEMANDS/WORK ENVIRONMENT The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
